Lead follow up automation: every enquiry logged, every reply drafted

Lead follow up automation here is an AI employee that logs every incoming enquiry on one register and drafts the first reply and the follow-ups when a reply is due. It is offered and built to order, and a person checks and sends every message.

Offered, built to order: not yet running for a client.

The work it takes off you

Lead follow up automation takes off the logging, the remembering and the first drafting that decide whether an enquiry turns into business.

Enquiries arrive in several mailboxes, as forwarded messages and from people who wrote once and then went quiet. By hand, someone has to notice each one, reply to it, and then remember to follow up when the other side does not answer.

That is where enquiries are lost: one answered late, one answered twice by two colleagues, one never followed up because it slipped below newer mail. Nobody has the whole list in one place.

How the workflow runs: automated lead follow up in steps

Automated lead follow up here means the robot logs, prepares and reminds; a person replies.

  1. Ingest: the robot reads the mailboxes where enquiries arrive, every time a new message comes in.
  2. Normalise: it recognises an enquiry and logs it as one row on the register: who wrote, what they asked and when.
  3. Decide: it checks the register for enquiries still waiting for a first reply, and for conversations where a follow-up is due by the timing you set.
  4. Generate: it drafts the first reply and, when it is due, the follow-up, in the same thread.
  5. Sign-off: a person reads each draft, changes what needs changing and sends it. The robot never sends.

What you get

You get every enquiry on one list and every reply prepared when it is due.

Who it fits: lead management automation for incoming enquiries

It fits any business that wins work from people who write in first. It is lead management automation for the enquiries you already receive, not a way of finding new ones.

The rules it runs under

This robot works only on enquiries that come to you; it never writes to strangers.

There is no cold outreach, no bought lists and no mass mailing. It does not send a sequence of messages on a timer, and it does not decide which customers you take on. Every reply and every follow-up is a draft until a person sends it.

Your data and control

Your data stays in your own accounts, and nothing runs without your yes.

It works with Gmail and Google Workspace mailboxes, Google Drive, Google Sheets and Xero. Nothing is switched on without your yes, every action is written to an audit record, anything the robot cannot do exactly goes to a person instead of being guessed, and a kill switch stops it in one command.

The AI employee is ours: it is rented monthly and runs on our servers against your own accounts, and the enquiries, the register and your customer contacts stay yours. If the rental stops, the workflow stops and you keep everything.

Questions, answered plainly

Does it do AI lead qualification?

Only in a plain sense: each enquiry is logged on the register with what was asked, so a person can see which ones need an answer first. Which enquiries are worth pursuing is decided by a person.

Will it find new leads for me?

No. It works only on incoming enquiries. It does not search for prospects, buy lists, write cold emails or send mass mailings.

Does it send the follow-ups by itself?

No. Each follow-up is drafted when it is due and waits in the mailbox for a person to send it. Nothing is ever sent by a robot.

Is it running today?

No. It is offered and built to order. It uses the same engine of reading mailboxes and preparing draft emails that runs today for a client.
