Every business has a list of what it needs from a new partner: company details, bank details, insurance papers, signed terms. By hand, someone writes the request, waits, checks what came back against the list, writes again for what is missing and saves the files somewhere.

That is where gaps appear: a supplier set up without its papers, a document that expired without anyone noticing, a file that sits in one person's inbox instead of the company folder.

How the workflow runs: supplier onboarding in steps

Supplier onboarding here follows your own list every time, and nothing is set up until a person approves.

  1. Ingest: you name the new supplier or client, and the robot takes your own list of the documents you require from them.
  2. Request: it drafts the email asking for those documents, for a person to check and send.
  3. Collect: as replies arrive, it gathers the documents and records each one against your list.
  4. Check: it looks for what is missing or expired and drafts a follow-up request for anything still outstanding. Anything it cannot check exactly goes to a person.
  5. File: it files every document in one folder and writes a row on the register.
  6. Sign-off: a person reviews the file and approves the new record. Only then is the supplier or client set up.

It works with Gmail and Google Workspace mailboxes, Google Drive, Google Sheets and Xero. Nothing is switched on without your yes, every action is written to an audit record, anything the robot cannot do exactly goes to a person instead of being guessed, and a kill switch stops it in one command.

The AI employee is ours: it is rented monthly and runs on our servers against your own accounts, and the documents, the register and the records stay yours. If the rental stops, the workflow stops and you keep everything.

What documents can it ask for?

Whatever your own list requires. The list comes from you, and it can differ for suppliers and for clients.

Does it verify that a company is genuine?

No. It checks that each required document has arrived and has not expired. Judging the partner, and approving the new record, stays with a person.

Does it create the supplier in my accounting system?

Not on its own. A new record is created only after a person approves it, the same rule the supplier bills workflow already follows today.

Is it running today?

No. It is offered and built to order. The supplier bills workflow, which runs today for a client, already works under the same approval rule for new suppliers.
